Organisation Portal
The organisation portal lets NGOs, school chains, and district offices manage multiple schools, view aggregated impact data, and handle billing from a single dashboard.
Getting Access
Use the onboarding details supplied by your UbuntuPlay contact to access your organisation account. These include:
- Your portal URL:
https://ubuntuplay.fly.dev/org/login - Login email and initial password
- A connection token for each school you want to register
Dashboard Overview
The overview page shows aggregate data across all your schools:

Adding a School
Go to My Schools → Add School
Fill in school name, country, contact name and email
Click Create School — a connection token is generated
Share the connection token with the school's teacher for the classroom server setup
Managing Schools
From My Schools, click any school to access:
- Edit — update name, country, contact details, and notes
- New Token — generate a fresh connection token if the school needs to reconnect
- License / Cohort orders — select an authorised learner group, choose agreed learner capacity and configured terms, review the quote, and download the signed key after payment/grant fulfilment. Downloading it again never adds time or changes the old school licence.
- View Reports — school-specific impact data
- Clear Reports — delete stored report files for this school
Impact Reports
Go to Reports to view learning data across all your schools.
Filters
- Date range — filter reports by when they were received
- School — view data for a specific school
Export
Click Export CSV to download a spreadsheet of all report data — useful for grant reporting and impact documentation.
Organisation Plans
Schools with whole-school current Builder entitlement can use local /teacher/builder.html for reviewed private activities (unscoped head/deputy, cohort mode). The new UI deploys through guarded APIs, with no standalone export. See the Builder guide.
Annual Organisation Hub is K3,000 base + K1,500 per contracted school, quoted separately from learner subscriptions and services. Ordinary Learning K10 / Complete K20 remain; Complete K15 requires an approved government contract for the exact scope. Three terms per year; Community Free remains 30 learners school-wide. In the commercial workspace, view your own contracts/grants, accept specific service deliveries and read only grant-scoped cohort reports. The old network tiers below are historical reference only and retired from new sale. Existing signed licences and financial records are unchanged.

Billing
Independent sponsors load only grant-filtered cohort labels and full eligible term IDs/dates from the existing cohort registry. Selecting another cohort rebuilds its eligible terms; no whole-school calendar/report fallback is used. Cohort activity reports require both a bounded unverified client occurrence hint and server receipt within continuous membership and signed Complete coverage. Receipt-only historical logs and missing timing provenance are excluded without fabricated backfill; counts are reported evidence, not verified outcomes. Recovery of an older report acknowledgement does not publish newer activity: the teacher must preview/review and explicitly push the current snapshot separately.
Go to Billing → Manage cohorts and orders to create server-priced quotes or reconcile an existing order ID. Review the three exact academic-term periods shown before ordering. After fulfilment the teacher imports the signed UP3 key locally, registers its contractual group and explicitly attests stable learner membership; selecting a class never auto-grows coverage. Complete attendance and reports cover those learners within teacher class permissions; shared calendar, staff and announcements require whole-school Complete coverage. Builder API access requires whole-school current Builder entitlement and an unscoped school administrator; old standalone-export pages remain blocked for cohort installations. Android App
The Org Portal Android app gives you the same dashboard, school management, provisioning, and reports on a phone — plus on-device report exports (styled PDF for presentations, CSV for spreadsheets, JSON for system imports). Signed-in organisation admins can download it from /downloads/uplay-org.apk or the Downloads page. The app updates itself: it checks the hub for new releases and offers a one-tap Update Now.
